Facilities Manager

Location: Mountain View

Description

As the Facilities Manager you will be responsible for day to day operational management of all of our Mountain View office operations. You will wear many hats, from managing amenities and services programs (food, janitorial, reception, office supplies ordering and stocking), to managing onsite events, to ensuring all aspects of the facility are in working order. The Facilities Manager may take on additional programs as the needs of the site arise.

 

The Facilities Manager will function as a business partner for the organization, being the point of contact for all programs at our Verily office in Mountain View, CA. This would include management of site specific policies (Dog Policy, Perks, Parking, Room setup, etc.). Additionally, the Facilities Manager will own vendor management by working closely with Strategic Sourcing and REWS to ensure alignment with top vendors on terms, pricing and scope for services. The Facilities Manager will closely track and manage the site budget.

 

The Facilities Manager will provide data and feedback to REWS Management to assist in the development of strategic plans to accommodate growth. The Facilities Manager will need to be able to communicate across all levels of the organization to gather feedback, assess need for new programs and gain approval on existing program enhancements. 

  • Oversee all REWS site programs, including but not limited to, reception, maintenance, vendor management, food service, badging and employee access, and transportation.  

  • Manage day-to-day operations, document and report vendor performance, solicit employee feedback, and provide continuous improvement.

  • Manage full time receptionist/office administrator, directing their day to day activities and providing support as needed.

  • Support Verily onboarding program as needed.

  • Management of Facilities Management vendors including systems and equipment maintenance, plant maintenance, janitorial, office supplies, paper shredding, etc)

  • Prepare program updates and analyses to share with REWS leadership

  • Lead space planning efforts for the Mountain View office (seating allocations, occupancy monitoring)

  • Help manage the Mountain View site budget, working closely with Verily HQ to forecast and analyze facilities-related spend

  • Partner closely with onsite Verily business units and site POC to manage the day-to-day 

  • Serve as office liaison to property owner, ensuring needs are addressed and met as needed

  • Manage office-wide communications channels (email aliases, digital signage, office Slack channel) and events. Solicit volunteers as needed to activate culture-building events at your site.

  • Serve as main site point of contact for the office: attend regular central planning meetings with other Verily office POCs, lead on the ground execution of Verily-wide events and communications

Qualifications

Minimum qualifications

  • Minimum of 5 years of experience in Facilities Management related role

  • Minimum of 5 years experience with fundamental administrative tools and processes such as reception, interview scheduling, event coordination, and inventory management for food, beverage and supplies.

  • Experience with all aspects of vendor management (RFP, contracting, day-to-day-management, performance & spend management)

  • Demonstrated organizational experience to maintain a professional office environment and keep it running smoothly

  • Excellent time management skills with ability to multitask and prioritize numerous requests.

  • A positive attitude/outlook is essential, with a track record of providing a superior level of customer (i.e. employee) experience and service.

Preferred qualifications

  • Excellent customer service, communication, interpersonal skills, problem solving and organizational skills.

  • Ability to think strategically and work independently

  • Notable experience in event planning and management of multiple calendars 

  • Experience in a startup or high-growth, fast-paced tech work environment.

  • Willingness and ability to learn new things quickly and receive and incorporate feedback.
